Privacy Policy

We need a little information to review early tester and artist applications. We do not need your life story, your browsing history, or a mysterious marketing profile.

1. Who is responsible for your data?

The controller is ESEFLAB sp. z o.o., with its registered office at Jurcz 17, 59-330 Ścinawa, Poland, entered in the Polish National Court Register under KRS 0001261239, NIP 6922551757. Contact us at ewothegame@gmail.com.

2. What do we collect?

If you send an application, we collect the details you enter: your name or nickname, email address, age, native language, country or region, answers about your experience and interests and, where relevant, portfolio URL, note, content-creator status and social profile links. We also record when consent was given. Our hosting providers may process ordinary technical logs, such as IP address, browser information, request time and error data, to deliver and secure the site.

3. Why and on what basis?

• Tester applications are processed with your consent so we can review the application and contact selected testers (Article 6(1)(a) GDPR).
• Artist applications are processed to take steps at your request before a possible contract and, where applicable, with your consent (Article 6(1)(b) and 6(1)(a) GDPR).
• Technical logs may be processed for our legitimate interest in keeping the site reliable and secure (Article 6(1)(f) GDPR).

You do not have to submit an application, but we cannot review it without the required details. Tester applications are open to people aged 16 or over; artist applications require age 18 or over.

4. Who receives the data?

Access is limited to authorised people working on Equestrian World Online and service providers needed to run the waiting page. We currently use Vercel for hosting and server functions and Supabase for storing applications. Social platforms receive data only when you choose to follow an external link; their own privacy terms then apply.

5. International transfers

Some providers may process data outside the European Economic Area. Where required, transfers are protected by an adequacy decision, Standard Contractual Clauses or another mechanism permitted by data-protection law.

6. How long do we keep it?

Unsuccessful applications are deleted or anonymised no later than 12 months after the relevant recruitment round closes. If we continue working together, necessary data may be kept for the duration of that relationship and afterwards for periods required to establish, exercise or defend legal claims and comply with legal duties. You may withdraw consent at any time; this does not affect processing that occurred before withdrawal.

7. Analytics and cookies

The waiting page uses Vercel Web Analytics to understand aggregated page traffic. It does not use third-party cookies and is not intended to identify you or follow you between websites. We do not currently use advertising cookies, tracking pixels or embedded social feeds. In short: there is no cookie banner because there is nothing optional for it to switch on. If that changes, we will update this policy and ask first where the law requires it.

8. Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction, portability or object to processing. You can also withdraw consent and lodge a complaint with the President of the Personal Data Protection Office in Poland (UODO). To exercise your rights, email ewothegame@gmail.com. We may need to verify that the request concerns your data.

9. Automated decisions and updates

We do not make decisions about applications solely by automated means. We may update this policy when the waiting page or its services change; the current version and effective date will remain available here.
